WhatsApp CRM for US businesses

A WhatsApp CRM that answers the first message and keeps the lead.

JBMOnboard360 is a WhatsApp CRM for US service businesses whose clients already message them on WhatsApp. When someone writes in, the AI concierge answers from your own knowledge base, saves the lead to the client record, books a callback and hands over to a person when needed.

The short answer

What a WhatsApp CRM does, and who in the US actually needs one

A WhatsApp CRM connects your WhatsApp Business number to your client records, so each conversation becomes a lead with a name, a history and a next step instead of a chat thread on someone's phone. Most WhatsApp CRM tools you will find are built for India, Europe or Latin America, where WhatsApp is the default channel for business. The US is different, so start with the numbers.

According to the Pew Research Center's social media fact sheet (survey January to June 2026), about 26% of US adults use WhatsApp, against 70% for Facebook. The average hides big differences. Use is far higher among Hispanic adults (56%), Asian American adults (51%), urban adults (44%) and households earning $100,000 or more (40%).

So a WhatsApp CRM is worth it in the US when a real share of your clients already message you there. That usually means:

  • Med spas, salons and clinics in Miami, Houston, Los Angeles, New York and other cities with large Hispanic and immigrant communities.
  • Businesses with international clients, such as medical tourism, education consultants and immigration-adjacent services.
  • Premium urban service businesses whose clients travel or live part of the year abroad.
  • Home-service and franchise operators with bilingual crews and customers who prefer WhatsApp.

If almost all of your clients expect a text message, WhatsApp will not replace SMS for you, and you should know that before you buy anything. JBMOnboard360 does not send SMS in the US today.

Be clear about the limits

WhatsApp AI receptionist: what it is, and what it is not

In US searches, "AI receptionist" usually means software that answers your phone. JBMOnboard360's concierge does not answer phone calls. It is a WhatsApp AI receptionist: it replies to people who message you on WhatsApp. If missed calls are your main leak, you need a phone answering service, and we'll tell you so in the consultation.

Three more limits we'd rather you hear from us:

  • No marketing broadcasts. Since April 2025 Meta has paused delivery of WhatsApp marketing template messages to US (+1) numbers (Wati summary of Meta's change). The concierge is for answering inbound enquiries, which is exactly the kind of conversation Meta still delivers. It is not a campaign tool.
  • No health information over WhatsApp. WhatsApp is not a HIPAA-covered channel for your practice, and Meta does not sign a BAA for it. Use the concierge for general questions such as prices, hours, location and booking a callback. Keep anything clinical in your intake forms and your clinical system. Our HIPAA-ready CRM page explains where the BAA does apply.
  • No SMS. WhatsApp is the messaging channel JBMOnboard360 supports in the US today.

WhatsApp Business CRM

What you get beyond the chat

One client record

The WhatsApp thread sits next to the client's appointments, forms, invoices, notes and files, so whoever picks up the conversation has the history.

Lead inbox and daily digest

Follow-up reminders on every lead, a daily list of who needs a call, and a record of why each lead was won or closed.

Answers you control

The concierge works from your knowledge base. Change a price or your hours there and the replies change with it.

Handover to a person

When a question is outside the knowledge base, or the client asks for a human, the conversation goes to your team.

Scheduling

Callbacks and appointments land on the team, room and service calendars that the rest of the business already uses.

Every location

Multi-location businesses see enquiries by location, with each location's team working its own leads and HQ seeing all of them.

Price

What the WhatsApp CRM costs

The WhatsApp concierge and lead inbox come with the Business plan, not a separate chatbot subscription: $399 per location per month billed annually ($499 monthly), with unlimited users at that location. Professional, at $79 per user per month billed annually ($99 monthly), covers client records, scheduling, invoicing, forms and team chat, without the WhatsApp concierge. Enterprise starts at $349 per location per month for 10 or more locations, billed annually. Every plan includes a Business Associate Agreement for the parts of your business that handle health information. See the full pricing table.

In the free consultation we look at how many of your enquiries arrive on WhatsApp now, write the first version of the knowledge base with you, and set up a trial account with your own data. If your clients don't use WhatsApp much, we'll say so and point you to the parts of the product that will help, such as the CRM with a built-in help desk or the simple CRM setup.

Questions

WhatsApp CRM questions from US buyers

Is there a long-term contract?

You choose. Annual plans are a 12-month commitment at the lower annual price, and your price is locked for the term. Monthly plans cost more, and you can cancel them at any time.

Can WhatsApp be used as a CRM?

WhatsApp on its own is a messaging app. It has labels and quick replies but no lead tracking, follow-up reminders or shared client history. A WhatsApp CRM connects your WhatsApp Business number to client records so each conversation becomes a tracked lead your whole team can see.

Does the AI receptionist answer phone calls?

No. JBMOnboard360's AI concierge replies to messages on WhatsApp only. It does not answer or make phone calls, and it does not send SMS.

Can I send WhatsApp promotions to US customers?

Not through JBMOnboard360. Meta has paused delivery of WhatsApp marketing template messages to US numbers since April 2025. The concierge is built for answering people who message you first.

Is WhatsApp HIPAA compliant for patient messages?

Treat it as not suitable for health information. Meta does not sign a BAA for WhatsApp. Use the concierge for general questions such as prices, hours and callbacks, and collect anything clinical through intake forms or your clinical system.

What happens when the AI doesn't know the answer?

It answers only from the knowledge base you control. When a question falls outside it, or the client asks for a person, the conversation is handed to your team and the lead stays in the inbox for follow-up.

How many US adults use WhatsApp?

About 26% of US adults, according to Pew Research Center's 2026 survey. Use is much higher among Hispanic adults (56%), Asian American adults (51%) and urban adults (44%).
