Simple CRM for small business
A simple CRM is one your team still uses in month three.
The best simple CRM for a small business is the one that holds every client in one place, tells you who needs a call today, and shows its full price up front. It shouldn't take a consultant to set up. Below is a decision table for testing any easy CRM, including ours, before you sign.
Why simple fails
"Built for larger teams with big budgets"
That's how small business owners describe most CRMs, and the complaints are consistent. Basic features sit behind paywalls. Prices keep going up. People spend more time updating the CRM than talking to customers. So the CRM gets abandoned and the business goes back to a spreadsheet, a notebook and a dozen chat threads.
Feature lists are not the problem. A small business usually needs fewer features, but they have to be the right ones, and they have to be connected. Surveys of US small businesses find owners running about seven apps to manage the business (Localogy, 2023). A "simple" CRM that adds an eighth app isn't simple.
So "simple" should mean three things: easy to start, easy to keep using and easy to pay for. Here is how to test each one.
Decision table
What "easy CRM" should mean, and how to check it
| Simple should mean | How to test it in a trial | Red flag | JBMOnboard360 |
|---|---|---|---|
| You start with your own data | Ask the vendor to load your real client list before you decide | An empty demo account and a "getting started" video series | Trial set up with your data after the free consultation |
| One client record holds everything | Open one client: can you see notes, files, messages, appointments and invoices? | Notes in the CRM, bookings in another app, invoices in a third | Notes, files, conversations, appointments, forms and invoices in one profile |
| It tells you who to call | Leave a lead for three days. Does anything remind you? | You have to build the reminder workflow yourself | Follow-up reminders on every lead and a daily "who needs a call" digest |
| The price is published | Find the price for your team size without talking to sales | "Contact us" or a paid onboarding fee you only see at checkout | Published: from $79 per user, or $399 per location with unlimited users |
| No add-on stacking | List the features you need and check which plan or add-on each one needs | AI, forms, chat or help desk sold as separate add-ons | Forms, team chat, AI meeting summaries and the WhatsApp concierge are part of the product |
| Team growth doesn't punish you | Price it for today's team and for twice the team | Every new hire adds a seat fee | Business plan: unlimited users at a location |
| Someone answers when you're stuck | Send a support question during the trial and time the reply | Only a help center and a chatbot | Setup with our team during the trial; ask us to prove response times |
Use the left three columns to test any CRM. The JBMOnboard360 column describes our product as of October 2026.
Checklist
Basic CRM features you'll actually use
Most small businesses use the same short list every day. If a CRM does these well, you can ignore the rest of the feature page.
- Add a client in under a minute, from a phone, at the front desk or after a call.
- See the whole history before you call someone back: last visit, last invoice, last conversation.
- Get reminded about leads and follow-ups without building automations.
- Book the appointment from the client record, on a calendar the whole team can see.
- Send an invoice and see whether it has been paid.
- Collect intake details with a form, or a QR code at the counter, so nobody retypes them.
- Know why you lost a lead, so next month goes better.
- Look at one dashboard for revenue, leads and appointments once a week.
JBMOnboard360 does each of these. It also has things you may grow into: team chat with calls and AI meeting summaries, HR leave and attendance, dashboards for every location, and a help desk for client requests (also sold on its own as Support CRM). You don't have to switch them on to start.
Price
Affordable CRM for small business: what you'll pay
These are our published US prices:
- Professional: $79 per user per month billed annually, or $99 monthly. A three-person business pays $237 a month on annual billing.
- Business: $399 per location per month billed annually, or $499 monthly, with unlimited users at that location. Business works out cheaper than Professional once you have six or more users at one location (6 × $79 = $474).
- Enterprise: from $349 per location per month for 10 or more locations, billed annually, with data migration included.
Every plan includes a Business Associate Agreement if you handle health information. Other plans don't include data migration, but we walk you through the import. The pricing section has the full table.
If you are a solo owner who only needs a contact list and reminders, a free or very low-cost CRM may be enough, and a $79 tool may be more than you need. JBMOnboard360 earns its price when you would otherwise pay separately for booking, invoicing, forms, chat and support.
Fit
When JBMOnboard360 is not the simple CRM for you
- You need card payments or memberships in the US. We send invoices and track payments, but we don't process cards or run memberships in the US yet.
- Your clients expect text reminders. We don't send SMS in the US. Our AI messaging works on WhatsApp, which suits some businesses and not others (see our WhatsApp CRM page).
- You dispatch crews or send quotes from the field. Field-service tools are built for that.
- You only need a free contact list. Start there and come back when you outgrow it.
If you run a client-based business with a small team, like a consultancy, agency, salon, studio or clinic front office, it's a strong fit. See CRM for consultants, CRM for salons or the client intake form template to see it in your setting.
Questions
Simple CRM questions
Is there a long-term contract?
You choose. Annual plans are a 12-month commitment at the lower annual price, and your price is locked for the term. Monthly plans cost more, and you can cancel them at any time.
What is the simplest CRM for a small business?
The simplest CRM is one your team uses every day without thinking about it. Look for one client record, automatic follow-up reminders, published pricing and setup with your own data. A tool with fewer features you actually use beats a powerful one that gets abandoned.
Do I need a CRM or is a spreadsheet enough?
A spreadsheet works until two people need to follow up the same lead, or you need history, reminders and invoices in one place. Once leads start slipping or staff keep asking who called whom, a CRM pays for itself.
How much should a simple CRM cost?
Prices range from free contact lists to more than $100 per user. JBMOnboard360 costs $79 per user per month billed annually, or $399 per location with unlimited users. That price includes scheduling, invoicing, forms and team chat.
How long does it take to set up?
After a free consultation we set up a trial account with your own data, so you start with your real clients instead of an empty screen. Enterprise includes full data migration.
Is there a free trial?
Yes. After the free consultation we set up a trial with your team and your data so you can test the decision table above on your own business.
