JBMOnboard360 / CRM for chiropractors

Chiropractic CRM

A CRM for chiropractors that knows who needs a call today

JBMOnboard360 is a CRM for chiropractors that tracks every new-patient enquiry, every lapsed patient and every intake form in one place, next to your chiropractic EHR. A HIPAA Business Associate Agreement is included on every plan, and prices are published.

A chiropractic CRM does one job your EHR usually does badly: it keeps the relationship moving between visits. It tells the front desk which enquiries have not booked, which patients dropped off their care plan, and which ones should hear from you this week. The care itself stays in your clinical system.

Your EHR stays

JBMOnboard360 is not an EHR or EMR, and it is not a clinical documentation, SOAP note or insurance billing system. Keep your chiropractic software for notes, coding and claims. JBMOnboard360 handles patients as clients: enquiries, scheduling, intake, invoicing, follow-up and the help desk. We don't claim an integration with any EHR; ask us about your setup in the consultation.

Where chiropractic practices lose patients

Practice owners tell the same story. New-patient calls and web forms go unanswered on busy days. Patients stop coming halfway through a care plan, and nobody notices for weeks. Reactivation lists live in a spreadsheet that the front desk never has time to work. Each of these is a follow-up problem, not a clinical one.

  • Enquiries go cold. In a 2011 audit of 2,241 US companies, the average response to a web lead took 42 hours, and 23% never replied (Harvard Business Review).
  • Care plans drop off. Without a list of who missed their next visit, the gap only shows up in the monthly numbers.
  • Reactivation never happens. Lapsed patients are your cheapest new visits, but only if someone calls them.

Recall and reactivation in a chiropractic CRM

JBMOnboard360 tracks each patient's lifecycle stage and puts follow-up reminders on every lead and client. Each morning, the daily digest lists who needs a call. When an enquiry is won or closed, staff record why, so you learn which channels and offers actually bring patients in. Here is a simple workflow you can copy:

StageTriggerAction in JBMOnboard360
New enquiryWeb form, WhatsApp message or call loggedLead created with a same-day follow-up reminder
New patientFirst visit bookedIntake form sent by link or QR code at the desk
Active care planMissed or unbooked next visitReminder for the front desk to call within 2 days
LapsedNo visit in 60–90 days (your choice)Stage set to lapsed; added to the daily call list
ClosedPatient declines or moves awayReason recorded so reporting stays honest

Copy this: a reactivation call script

JBMOnboard360 does not send texts in the US, so reactivation here means a short, human call or an email. Keep it free of clinical detail.

"Hi {first name}, this is {name} from {practice}. We noticed it's been a while since your last visit and wanted to check in. Would you like us to find a time that works for you this week or next?" If yes: book it, then log the outcome. If not now: set a reminder for 30 days and record the reason.

What else the practice gets

  • Client records: every patient, note, file and conversation in one profile, with custom fields such as referral source or preferred doctor.
  • Scheduling: book doctors, rooms and services, and handle booking requests.
  • Intake forms with QR codes: new-patient and feedback forms that save to the record, covered by the BAA. See our HIPAA intake forms page.
  • Invoicing: invoices, discounts and prepaid cards with payment tracking, for cash-pay services. There is no US card processing.
  • Help desk: for practices with several clinics, staff raise cases for equipment, IT or new users, with SLAs and escalation. Staff who raise cases are free. Learn more about a CRM with a help desk.
  • WhatsApp enquiries: if your patients already use WhatsApp, an AI concierge answers general questions like hours, prices and first-visit details from your knowledge base, books a callback and hands over to a person. Never collect health information over WhatsApp, and don't treat WhatsApp as HIPAA compliant.
  • HR: leave requests and monthly attendance for the team.

Does a chiropractor need a BAA for a CRM?

If you bill insurance electronically, you are very likely a HIPAA covered entity (HHS). Then any CRM or form tool that stores patient information needs a BAA. Many general CRMs only sign one on top tiers; see which CRMs sign a BAA. JBMOnboard360 includes a BAA on every plan and hosts US data on AWS in the United States, encrypted in transit and at rest. You still need your own policies and risk analysis; ask your compliance advisor.

Chiropractic CRM pricing

  • Solo doctor plus one front-desk person: Professional at $79 per user per month billed annually is 2 × $79 = $158 a month ($99 per user monthly).
  • One clinic, 6 staff: Business at $399 per location per month billed annually, with unlimited users at that location. Professional would be 6 × $79 = $474, so Business is cheaper from about six users.
  • Three clinics: 3 × $399 = $1,197 a month billed annually, or 3 × $499 = $1,497 monthly.

When JBMOnboard360 is not the right fit

If you want one system for SOAP notes, claims, text reminders and card payments, use a chiropractic EHR or practice management system instead. JBMOnboard360 does not do charting, insurance billing, SMS or card processing in the US. It fits practices that already have an EHR and need better follow-up, cleaner intake and one view across clinics.
