JBMOnboard360 / HIPAA-ready CRM
HIPAA compliant CRM
Looking for a HIPAA compliant CRM? Get one with a BAA on every plan.
A HIPAA compliant CRM, in practice, is a CRM whose vendor signs a Business Associate Agreement and protects your data. Many vendors only do that on top tiers or for an add-on fee. JBMOnboard360 includes a BAA on every plan, hosts US customers on AWS in the United States, and encrypts data in transit and at rest.
What HIPAA asks of a CRM
What makes a CRM HIPAA compliant?
HIPAA doesn't certify software. It puts duties on covered entities and their business associates. If your CRM vendor stores or handles protected health information (PHI) for you, it is your business associate, and you need four things from it.
- A signed BAA. The contract that makes the vendor responsible for safeguarding PHI and reporting breaches. Without it, putting PHI in the CRM is a violation in itself. HHS has settled cases over missing BAAs alone, such as $750,000 with Raleigh Orthopaedic Clinic in 2016 (HIPAA Journal).
- Encryption. Data encrypted in transit and at rest.
- Access controls. Each person sees what their role needs, and nothing else.
- Audit and backups. A record of activity, and backups so data survives an outage.
Ask every vendor, us included, to show you how roles, permissions and activity history work before you sign. Then there is your side. A BAA doesn't do your risk analysis, write your policies or train your staff. Compliance is shared between you and the vendor, and your compliance advisor is the right person to confirm your setup.
Who actually needs a HIPAA compliant CRM?
Not every health or wellness business is covered by HIPAA. A health care provider is a covered entity if it sends health information electronically in a standard transaction, like an insurance claim or an eligibility check (HHS).
- Likely covered: physical therapy, chiropractic and therapy practices that bill insurance; med spas with a medical director, prescribing or electronic lab orders (AccountableHQ).
- Possibly not covered: cash-only providers who never transmit standard transactions may fall outside HIPAA (ASHA). Purely cosmetic salons and spas usually aren't covered entities.
- Still careful: state laws like Washington's My Health My Data Act and the FTC's Health Breach Notification Rule can apply even where HIPAA doesn't.
- Business associates: an agency or consultant that handles a clinic's patient data needs BAAs too.
What you get
HIPAA-ready, with the BAA included
A BAA on every plan
Professional, Business, Enterprise and Support CRM all include it. It is not an add-on, and you don't need a top tier to get it. Ask for a copy in your consultation.
US hosting on AWS
US customers are hosted on AWS in the United States, with an AWS BAA in place. Daily backups are copied to a second US region.
Encrypted in transit and at rest
US customer data is encrypted in transit and at rest, so client records, form answers and help desk cases are protected the same way.
The CRM itself
HIPAA compliant CRM software that runs the front office
JBMOnboard360 keeps every client, lead, note, file and conversation in one profile. Around that record you get:
- Scheduling for your team, rooms and services, with booking requests. See HIPAA-ready scheduling.
- Intake and feedback forms with QR codes, built in the custom form builder. See HIPAA-ready intake forms.
- Invoicing, discounts, prepaid cards and payment tracking.
- A help desk with SLAs, escalation and a knowledge base. See the help desk with a BAA.
- A lead inbox with follow-up reminders and a daily list of who needs a call.
- Team chat with audio and video calls, and AI meeting summaries saved to the client record.
- Headquarters view across locations, with each location's own team, data and dashboard.
Worked cost example
HIPAA compliant CRM for a small business: what 10 staff at one clinic pay
A single-location clinic with 10 people who need CRM access, using each vendor's published US list price in October 2026.
| Option | How the BAA is reached | Monthly | First year |
|---|---|---|---|
| JBMOnboard360 Business | Included on every plan | $399 (annual billing), unlimited users at one location | $4,788 |
| HubSpot Service Hub Enterprise | Enterprise tier required | 10 × $150 = $1,500 | $18,000 + $3,500 onboarding = $21,500 |
| Keap | Enable HIPAA controls, sign BAA (email, SMS, VoIP not covered) | $299 for 2 users + 8 × $39 = $611 | $7,332 + required implementation (unpublished) |
| GoHighLevel Starter | $297 HIPAA add-on, permanent once enabled | $97 + $297 = $394 | $4,728 |
Sources, checked 20 October 2026: HubSpot Service Hub pricing and sensitive data requirements; Keap pricing and HIPAA terms; HighLevel pricing and HIPAA add-on. HubSpot is shown with Service Hub; other hubs are priced separately. Monthly JBMOnboard360 billing is available at $499 per location. Trademarks belong to their owners; JBMOnboard360 is not affiliated with them.
Read it fairly. GoHighLevel lands at about the same price, and it is a deep agency marketing platform; the trade-off is that its HIPAA add-on can't be removed once on. HubSpot Enterprise brings a large ecosystem if you need it. Keap is strong at marketing automation, but its BAA leaves out email and SMS. JBMOnboard360's case is simple: one price per location, unlimited users, and the BAA from day one. For every vendor's terms, see which CRMs sign a BAA.
Honest limits
When JBMOnboard360 is not the right fit
- You need an EHR. JBMOnboard360 is not an EHR or EMR. It doesn't do clinical charting, treatment notes or insurance billing. Practices keep their clinical system, and JBMOnboard360 handles clients, scheduling, intake, invoicing, the help desk and follow-up around it.
- You need card payments or memberships in the US. We send invoices and track payments, but we don't process cards, and we don't sell memberships or packages in the US yet.
- You rely on SMS. We don't send text messages in the US. The AI concierge answers WhatsApp enquiries about prices, hours and callbacks. Keep health information off WhatsApp.
- You need specific integrations. Ask us about your setup in the consultation before you assume one exists.
Questions
HIPAA CRM questions
Is there a long-term contract?
You choose. Annual plans are a 12-month commitment at the lower annual price, and your price is locked for the term. Monthly plans cost more, and you can cancel them at any time.
Is JBMOnboard360 HIPAA compliant?
JBMOnboard360 is HIPAA-ready. A BAA is included on every plan, US data is hosted on AWS in the United States and encrypted in transit and at rest. Compliance is shared: you still need your own risk analysis, policies and training.
Does every plan really include the BAA?
Yes. Professional, Business, Enterprise and Support CRM all include it at no extra cost. You can ask for a copy during the free consultation.
What does a HIPAA compliant CRM cost?
JBMOnboard360 starts at $79 per user per month billed annually, or $399 per location per month with unlimited users on Business. Many other CRMs need an Enterprise tier or a paid add-on for a BAA.
Can I use it instead of my EHR?
No. JBMOnboard360 is not an EHR or a clinical documentation or insurance billing system. Keep your clinical system and use JBMOnboard360 for clients, scheduling, intake, invoicing and follow-up.
Can patients message us on WhatsApp?
The WhatsApp concierge is for general enquiries such as prices, hours and booking a callback. Don't use WhatsApp for patient health information.
