JBMOnboard360 / CRM for therapists
CRM for therapists
A CRM for therapists that runs the front office, not the session
Most therapists need an EHR first, not a CRM. A CRM for therapists earns its place in group practices, where intake coordinators juggle dozens of enquiries, several offices and admin requests. JBMOnboard360 handles that front office beside your EHR, with a HIPAA BAA on every plan. If you are a solo therapist, you probably don't need it, and we'll say why below.
Keep your EHR
JBMOnboard360 is not an EHR or EMR, and it is not a clinical documentation, progress note, treatment plan, telehealth or insurance billing system. Keep SimplePractice, TherapyNotes or whichever clinical system you use. Do not store psychotherapy notes or session content in JBMOnboard360. It handles clients, scheduling, intake, invoicing, the help desk and follow-up.
Do therapists need a CRM at all?
A therapist's EHR already does scheduling, notes, billing and often a client portal. For one clinician, that is enough. The picture changes as a practice grows. A group practice with an intake coordinator gets enquiries from directories, insurers, physicians and its own website. Many of those people never become clients, so they never belong in the EHR. Someone still has to answer them, match them to a clinician with an opening, and record why the rest didn't book. That is CRM work.
| Your practice | Do you need a CRM? | What to use |
|---|---|---|
| Solo therapist, private pay or insurance | Usually no | Your EHR's scheduling, intake and client portal |
| 2–4 clinicians, owner does intake | Maybe | Start with your EHR; add a CRM when enquiries slip |
| Group practice with an intake coordinator | Yes | EHR for care, JBMOnboard360 for enquiries, matching and admin |
| Several offices or a clinical director plus admin team | Yes | Add the help desk and one dashboard per office |
| Massage therapy or wellness practice (no EHR) | Often | JBMOnboard360 for clients, booking, intake and invoices, if you can live without card payments and texts |
What a group practice uses JBMOnboard360 for
- Client enquiries in one inbox. Every new enquiry becomes a lead with a follow-up reminder. The daily digest lists who needs a call today, and staff record why each enquiry was won or closed (no openings, insurance not accepted, chose another provider).
- Matching notes. Custom fields for specialty requested, insurance or private pay, preferred office, telehealth or in-person, and preferred times. Keep these administrative, not clinical.
- Pre-intake forms with QR codes. A short form collects contact details and preferences, saves to the client record and is covered by the BAA. Clinical intake and consent stay in your EHR. See HIPAA intake forms.
- Scheduling for consultations. Book intake calls and consultations against clinicians and rooms, with booking requests.
- An admin help desk. Clinicians raise cases for IT, office supplies, room changes, credentialing paperwork or new logins. Cases have SLAs and escalation from Tier 1 to Tier 2 to manager, and staff who raise cases are free. More on an internal help desk.
- HR and team chat. Leave requests, monthly attendance, and team messaging with calls for staff meetings. AI meeting summaries are for internal meetings only; never use them for therapy sessions.
Copy this: an enquiry response that protects privacy
Answer fast, but don't ask people to describe their symptoms by email or chat. Send them to a secure form instead.
- "Thanks for reaching out to {practice}. We have openings with clinicians who work with {general area, e.g. adults or couples} on {days}."
- "To match you, please complete our short form here: {link}. Please don't include personal health details in this message thread."
- "Our intake coordinator, {name}, will call you by {day}. If you'd rather we didn't leave a voicemail, note that on the form."
WhatsApp for general questions only
JBMOnboard360's AI concierge answers inbound WhatsApp messages from your knowledge base: office hours, locations, whether you take a given insurance, fees and how to start. It books a callback and hands over to a person. For mental health practices, keep its role narrow. Never collect symptoms or clinical information over WhatsApp, and never treat WhatsApp as HIPAA compliant. WhatsApp only suits practices whose clients already use it; about 26% of US adults do, and 56% of Hispanic adults (Pew Research, 2026). JBMOnboard360 does not send SMS in the US.
How this compares with your EHR
As of October 2026, SimplePractice lists Starter at $49, Essential at $79 and Plus at $99 per month, with $74 for each additional clinician on Plus (simplepractice.com/pricing), and a BAA on every account (simplepractice.com/baa). That is excellent value for clinical work, and JBMOnboard360 does not replace it. JBMOnboard360 adds cost, so it should only be added when the enquiry and admin load justifies it.
Pricing for a group practice
- Intake team only: 2 intake coordinators plus the practice manager on Professional = 3 × $79 = $237 a month billed annually ($99 per user monthly). Clinicians who only raise admin cases can stay off paid CRM seats if you add the Support CRM.
- Whole office on the system: Business at $399 per office per month billed annually ($499 monthly), with unlimited users at that office.
- Admin help desk alone: Support CRM at $115 per agent per month billed annually ($139 monthly). One office manager as the agent costs $115, and every clinician can raise cases free.
HIPAA and the BAA
Practices that bill insurance electronically are HIPAA covered entities (HHS). JBMOnboard360 includes a BAA on every plan, hosts US data on AWS in the United States, and encrypts it in transit and at rest. Keep what you store in the CRM to the minimum the front office needs. Your own policies and risk analysis still apply; ask your compliance advisor. See what a HIPAA-ready CRM covers.
When JBMOnboard360 is not the right fit
If you are a solo therapist, keep your money. Your EHR already does scheduling, intake and reminders, and a second system adds work. JBMOnboard360 is also wrong for anyone looking for progress notes, treatment plans, telehealth, superbills or claims. It is right for group practices whose enquiries outgrow one inbox, and for massage and wellness practices that need a client CRM with booking and intake, and can work without card payments, packages and texts.
Questions
CRM for therapists: common questions
Is JBMOnboard360 an EHR for therapists?
No. It is not an EHR, EMR, clinical documentation or insurance billing system. Keep SimplePractice, TherapyNotes or your current EHR for clinical work, and use JBMOnboard360 for enquiries, intake coordination, scheduling and admin.
Should a solo therapist use a CRM?
Usually not. A solo practice is better served by its EHR's built-in scheduling, intake and reminders. A CRM starts to pay off when a group practice has an intake coordinator handling many enquiries.
Can I store session notes in JBMOnboard360?
No. Psychotherapy notes and session content belong in your EHR. Keep JBMOnboard360 records administrative: contact details, preferences, enquiry status and scheduling.
Does JBMOnboard360 sign a BAA?
Yes. A Business Associate Agreement is included on every plan, and US data is hosted on AWS in the United States.
Does it work for massage therapists?
Often, yes. Massage practices can use it for client records, booking, intake forms and invoices. It does not take card payments, sell packages or send text reminders in the US.
