JBMOnboard360 / AI meeting notes in CRM
CRM with AI meeting summary
AI meeting notes that land in the client record, not another app.
JBMOnboard360 puts AI meeting notes in your CRM. Hold the audio or video call inside JBMOnboard360 and the AI summary and action items are saved straight to the client's record, next to their appointments, invoices and history. You don't need a separate note-taker subscription or a sync to copy notes across.
The problem
Why AI meeting notes so often never reach the CRM
Most teams use AI meeting notes the same way. A note-taker such as Fathom or Otter joins the Zoom call, writes a good summary, and emails it to whoever ran the meeting. Then one of three things happens:
- The summary sits in the note-taker's own library, where only the person who recorded it looks.
- Someone pastes it into the CRM by hand, when they remember.
- The business pays for a higher note-taker tier, or builds a Zapier flow, to push notes into the CRM, and then fixes it when a field changes.
The result is the same: the next person to speak with the client can't see what was agreed. Action items get lost between "great call" and "who was meant to send that?"
JBMOnboard360 removes the hand-off. The call, the chat, the summary and the client record live in one product, so there is nothing to sync.
How it works
From call to client record in four steps
- Start the call from the client. Open the client or lead and start an audio or video call from team chat. Staff and clients can both join.
- Talk. Nobody needs to take notes or invite a bot.
- Get the AI meeting summary. When the call ends, the AI writes a summary and pulls out the action items.
- It's on the record. The summary and action items are saved to that client's record, where anyone on the team with access can see them before the next touchpoint.
The summaries cover calls held inside JBMOnboard360. If most of your meetings happen in Zoom, Teams or Google Meet with outside parties, ask us in the consultation how that fits your setup before you plan on dropping a note-taker.
The math
AI meeting summary costs: a separate note-taker vs a CRM that includes it
These are the list prices published by two popular note-takers, checked on October 20, 2026. They are per user, per month. Fathom lists a 2-user minimum on Team and Business, and Business is the plan that lists CRM field sync.
| Note-taker plan | Billed annually | Billed monthly | 5 users, per year (annual) |
|---|---|---|---|
| Fathom Team | $15 | $19 | $900 |
| Fathom Business (CRM field sync) | $25 | $34 | $1,500 |
| Otter Business | $19.99 | $30 | $1,199.40 |
| JBMOnboard360 | Calls and AI meeting summaries are part of the product, at no extra per-user charge | ||
Worked example. A five-person consultancy pays for a CRM and also wants meeting notes in it. Adding Fathom Business on annual billing costs 5 × $25 × 12 = $1,500 a year. On monthly billing it's 5 × $34 × 12 = $2,040. Otter Business on annual billing is 5 × $19.99 × 12 = $1,199.40. That is on top of the CRM.
On JBMOnboard360 Professional, the same five people cost 5 × $79 × 12 = $4,740 a year billed annually. That covers the CRM, scheduling, invoicing, forms, team chat and calls, and the AI summaries with no note-taker line. You'd still be paying for one tool, not two.
Be fair to the note-takers. Fathom has a free plan with AI call summaries. If you already like your CRM, adding a $15 note-taker is cheaper than switching CRMs, and we'd tell you that. The saving is real when you are choosing a CRM anyway, or when you already pay for a CRM, a note-taker, a chat tool and a help desk separately.
This is what a separate note-taker would add each year. It uses the published list prices above and leaves out promotions and taxes.
Why it matters
What changes when notes live with the client
Handoffs stop dropping
The colleague who takes the next call reads the last summary and the open action items on the same screen as the client's history.
Fewer apps to pay for
Chat, calls, summaries, client records, scheduling and invoices share one login. That's one subscription instead of four.
Follow-up you can see
Action items sit next to the lead inbox and the daily digest of who needs a call, so commitments made on calls get done.
Fit
When JBMOnboard360 is not the right fit
- Your meetings all happen in Zoom, Teams or Meet with outside parties, and you don't want to move them. A note-taker built for those platforms may suit you better.
- You need call recordings and searchable transcripts across hundreds of sales calls, with coaching analytics. That is what conversation-intelligence tools are built for.
- You love your current CRM. Keep it and add a note-taker. Switching a CRM to save a $15 subscription isn't worth it.
- You're a clinic and want AI to write clinical notes. JBMOnboard360 is not an EHR or a clinical documentation tool. Keep your clinical system for charting.
It is a good fit for agencies, consultants and service businesses that talk to clients often and want one place for the conversation, the follow-up and the invoice. See the CRM for consultants and the CRM for agencies for those workflows.
Recording consent. Some US states require every party's consent before a call is recorded. Tell participants when a call is being summarized, and check your state's rules with your advisor.
Questions
AI meeting notes in a CRM: common questions
Can AI meeting notes go straight into the client record?
Yes, for calls held in JBMOnboard360. The AI summary and action items are saved to the client's record automatically, with no copy and paste and no sync to maintain.
Do I still need Fathom, Otter or Granola?
Not for calls you run inside JBMOnboard360. If many of your meetings happen in other video tools with outside parties, a separate note-taker may still be useful, and we will tell you honestly in the consultation.
What does an AI meeting summary include?
A short written summary of the conversation and a list of action items, saved to the client record so the next person who works with that client can see them.
How much does a separate AI note-taker cost?
As published on October 20, 2026, Fathom Team is $15 per user per month billed annually and Fathom Business is $25. Otter Business is $19.99 billed annually. For five users that is $900 to $1,500 a year on top of your CRM.
Can clients join the calls?
Yes. Team chat in JBMOnboard360 supports messaging, audio and video calls for staff and clients.
